Description
Your main tasks are:
· Assist with the coordination and logistics of on/offshore services, inspections & personnel (including travel program trips, airport pick-up and accommodation bookings as required).
· Planning in advance the journey of everyone travelling (making sure to consider several parameters).
· Research on optimal travel alternatives.
· Coordinate, supervise and implement every aspects of travel arrangements for staff, executives, and production team.
· Project management telecommunication system (processing sim cards and phones devices requests from Project Management / Site Management / HR Management: fleet management (Telecom + Ooredoo)…
· Manage and arrange (Visit cards, Project Stamps, project events and meetings with client and suppliers….)
· Develop and implement a facility management program including preventative maintenance and life-cycle requirements.
· Coordinate intra-office moves.
· Plan and manage facility central services such as reception, security, cleaning, catering, waste disposal and parking.
· Implement best practice processes to increase efficiency.
· Calculate and compare costs for goods and services to maximize cost-effectiveness ; Negotiate agreements (Rental cars agencies, hotels, travel agencies….) to optimize services and cost saving.
· Verify payment and invoicing match agreement pricing.
· Generate and present regular reports and reviews of facility-related budgets, finances, agreements, purchases.
· Provide prompt response to requests and issues from facility occupants.
Skills & Knowledge:
· University business degree.
· Minimum 5 years’ experience as coordinator.
· High level of communication.
· Ability to plan, forecast, and rank schedule priorities.
· Ability to anticipate issues that impacts schedule.
· Able to work in a team.
· Good English.
· Good skills in Excel.
