Join Transcom as an Office Administrator !


Be on the front line of efficiency for our team and deliver impactful work on a company level. In this role, you will:


  • Manage Day-to-Day Operations: Ensure a smooth, organized, and compliant workplace environment by supporting administrative functions, controlling budgets, and coordinating internal processes.

  • Procurement and Supplier Management: Act as the organization’s designated buyer; source, evaluate, and negotiate with suppliers to secure competitive offers and identify savings opportunities.

  • Facility and Safety Coordination: Coordinate site protection and safety requirements in line with legal prescriptions and manage site access control systems, including security badges and access rights.

  • Administrative Excellence: Assist with invoice tracking, expense reporting, and billing processes in coordination with Finance, while managing centralized records of all contracts.

  • Event and Onboarding Support: Support onboarding/offboarding processes and assist in organizing trainings, meetings, and internal events such as team breakfasts or lunches.

  • Reception and Communication: Manage the reception area, handle the switchboard, coordinate courier services, and oversee the distribution of internal and external correspondence.

To be successful in this role :


  • Language Proficiency: Proficiency in English at a B2 level and Mother Tongue level (C2) in the local language.

  • Minimum Studies: Diploma or advanced vocational training in Secretarial or Reception Skills.

  • Specific Training: Training and/or work experience in Administrative/Office Management or General Services.

  • Previous Experience: Minimum of one year's experience as a receptionist for a multi-center company or similar role; experience in the Contact Centre sector is an asset.

  • IT Skills: Intermediate level in Office package (Word/Excel/PowerPoint) and Google Apps.

  • Core Competencies: Strong communication, planning and organizational capacity, focus on quality, and analytical thinking.

  • Positive Attitude: A service-oriented vocation with the ability to remain motivated and positive under pressure.
