We are looking for a administrative assistant :
The Administrative Assistant will be supported by the Technology, Finance and Human Resources departments .
Facilities coordination:
· Monitors facilities and is the single point of contact for maintenance issues.
· Coordinates site cleaning and security.
Vendor management:
· Manages the facilities vendors, taking responsibility for orders & delivery, under the guidance of the Site Director and pending expense approvals from the respective cost centre owners.
· Prepares and processes orders and relevant documents in accordance with company policies and procedures.
· Monitors and coordinates deliveries of items between suppliers to ensure that all items are delivered to site on time.
· Tracks and compares costs for required goods or services to achieve maximum value for money.
Office supplies management:
· Monitors the use of supplies and equipment, and reports any abuse to the Accounting Manager.
· Maintains the stock for office supplies.
· Manages site assets/inventory under Accounting and Technology guidance, in compliance with company procedures and policies.
Travel coordination:
· Liaises with colleagues and external contacts to support travel and accommodation.
Employee Engagement:
· Organizes employee engagement initiatives, site social activities and team buildings.
Communication:
· Manages site communication initiatives.
· Produces media content (photography, videos, flyers and posters).
· Drafts articles to be shared on the company intranet.
Requirements & Personal characteristics:
- Detail oriented, dynamic and autonomous.
- Demonstrating the ability to multi-task, to proactively anticipate and resolve/coordinate issues.
- Warmth and energy in communication with employees and outside partners; communicates clearly and effectively.
- Excellent Skills in the following applications: Outlook, Excel, Word, PowerPoint, Internet.
- Knowledge of the Adobe Creative Suite, photography/video skills are a plus.
- Customer oriented mentality and strong desire to continuously improve services.
- Effective time/stress management skills.
- Fluency in French, Italian and written proficiency in English.
