Marketing Assistant
Description of the position:
Provide support to PMs& Medical Rep Manager
Provide support to medical Department
Fulfill general administrative tasks and ensure a good functioning of the division
Organize the agenda of the Medical PMs& Rep Manager/ Schedule appointments and meetings
Event planning and coordination
Main challenges:
Provide the necessary support to meet the business needs
Anticipate the needs
Ensure a good organization of the division
Major Tasks:
Schedule and coordinate logistics for events, such as conferences, meetings and special events
Ensure the follow up of the marketing support regarding concur, Tickets flights bookings of all the therapeutic areas
Travel management
Create PRs in the system and ensure follow up of the GR
Supporting all company department to GR issues (purchasing process)
Monthly follow up of expenses
Coordinate travel logistics: arranging travel and accommodation- meet& greet service
Maintain a directory of professional contacts and updating this
Prepare meeting's minutes
Ensure good communication and maintain an inter-departmental collaborative approach
Process expense reimbursement requests
Handle general administrative tasks and special projects staff
Purchasing office supplies
Coordination with the different departments and business units
Dealing with the incoming correspondence (e-mail, fax, post...)
Producing documents, briefing papers, reports and presentations, collate documents required for meetings
Carrying out specific projects/ researches and presenting findings into subjects the country manager is dealing with and handling information requests
Liaising with suppliers and other organisms (embassies, associations...)
Organize all items requiring Head Rep Office signature
Required Profile:
Skills, experience and qualifications
Education: Degree in relevant field
Responsible, cooperative and enthusiastic
Fluent in both French and English
Experience: at least 03 years in similar position
